Turn client notes
into a proposal you can review.
A solo consultant spends too long sorting discovery notes before writing a proposal. One AI agent can prepare the material while the consultant keeps the judgment, pricing and client relationship.
This is a fictional workflow example. It does not assume a particular profession, client or measurable time saving.
The agent’s job
The Research and proposal agent reads approved notes, identifies the client’s stated need, lists missing information and prepares a proposal outline after you approve its brief.
Your job
You check that the brief reflects the conversation, choose the recommendation, decide the price and commitments, and send the final proposal. The agent may draft options but does not make promises on your behalf.
Why there is no separate AI CEO
There is one specialist and one owner, with two sequential deliverables. You already have a single point of contact. Add a coordinator only when several distinct agents or simultaneous workstreams make routing and follow-up a real problem.
Give it these inputs
- Approved discovery notes, with unnecessary personal information removed.
- Your actual services and scope limits.
- A proposal template and one permitted example of your writing.
- The decision you want the client to make, your review time and the deadline.
Start in three steps
- Describe this goal in your company brief, generate your team plan and review the recommendation.
- Create the recommended agent in your AI platform. Paste its setup instructions first.
- Paste the message below into that agent’s chat, then provide the information it requests. Confirm the dates before it starts.
This message is for the one-agent example. If your own blueprint recommends a different team, follow its setup order and starting message.
Read the instruction text
Act as my research and proposal agent. Before beginning, ask me for approved client notes, the decision the client needs to make, the scope I can offer, my proposal template and an agreed start date. Do not invent client facts, budgets, commitments, prices or results. Goal: within three working days of the agreed start date, prepare one client brief and one proposal outline that I can review. First return a one-page brief containing the client's stated need, evidence from the supplied notes, unanswered questions and possible scope. Wait for my approval. Then draft an outline with objectives, deliverables, exclusions, assumptions and questions about timing and price. Mark any missing information clearly. I will make the recommendation, set the price, approve commitments and send the proposal myself. Do not contact the client or change the CRM. Allow one revision round, then ask whether the result is ready or needs a new brief.
Tools and permissions
Start with a document and your AI chat. Paste approved excerpts or grant read access only to the relevant files if your AI platform offers a suitable connector. Keep the final proposal in a draft document you control. Email sending, CRM editing and payment access are unnecessary for this pilot.
For repeated work, a document or CRM connection may save copying. Decide which exact records the agent needs before granting it access. Agent Team Plan recommends the setup; you connect tools in the platform where the agent runs.
How to tell whether it helped
For the first proposal, record preparation time, review time and corrections. Check that every client claim can be traced to an approved note and that unknowns remain visible. Repeat for two comparable proposals before deciding whether time or quality improved. Do not set a percentage saving without a baseline.
When to change the setup
Update the brief if your service, ideal client or proposal process changes. Confirm it, generate a new version when needed, and copy the revised instructions into your agent. For a new client within the same process, give the existing agent a fresh task and approved context; a completely new team plan may be unnecessary.
